- Job description – Facility Coordinator (Safety and Security)
- Key Responsibilities
- Security & Access Control Management
- Administer employee, contractor, visitor, and temporary access badges.
- Manage badge activation, deactivation, clearance assignments, and profile updates through access control systems.
- Coordinate onboarding and offboarding access requirements for employees and contractors.
- Conduct monthly access clearance reconciliation and audit reviews.
- Support global badge profile transfers across regional locations.
- Maintain records of access cards, temporary badges, and contractor profiles.
- Investigate and coordinate resolution of access control and badge-related issues.
- Physical Security Operations
- Coordinate daily security guard operations and manpower scheduling.
- Liaise with security service providers regarding staffing, training, performance concerns, and operational issues.
- Support security inspections, patrol activities, and compliance checks.
- Coordinate security-related training programs and monthly meetings.
- Monitor and follow up on security incidents, alarms, and building access concerns.
- Facilities Administration
- Manage workplace-related documentation, reports, and operational records.
- Coordinate contractor and vendor services including quotations, billing, and service requests.
- Maintain facility assets and workplace equipment records.
- Support workplace projects and operational improvement initiatives.
- Assist with car parking registration and workplace service requests.
- Building Access & Card Management
- Maintain employee and contractor access card databases.
- Coordinate issuance and replacement of building access cards.
- Handle lost card processes and replacement procedures.
- Manage access card printing systems, supplies, and related equipment.
- Ensure adherence to card issuance requirements and photo guidelines.
- Smart Locker & Workplace Technology Support
- Administer smart locker systems and user access.
- Coordinate with vendors for maintenance, repairs, and system support.
- Support workplace technology-related administrative tasks and issue resolution.
- Reporting & Compliance
- Prepare and maintain weekly and monthly operational reports.
- Monitor completion of security and facilities checklists.
- Ensure compliance with workplace security, safety, and operational procedures.
- Maintain accurate documentation and records for audits and inspections.
- Follow up on outstanding facilities and security-related actions.
- Able to work as shift rotation monthly (7.00 a.m. / 1.00 p.m. / 10.00p.m.)
